The short answer
If you sell things people pay sales tax on, the state where the fair is wants you registered to collect it. Most states require sellers at craft fairs, including temporary vendors from another state, to register with the state [1]. Registering is usually free, and the permit is called a seller's permit, a sales tax permit or a certificate of authority depending on the state.
A permit from your home state doesn't cover a show in another state. Each state you sell in needs its own registration.
Three big states, from their own tax departments
| State | What a craft fair vendor needs |
|---|---|
| California | A seller's permit. If you'll sell for less than 90 days, such as at craft fairs, you can get a temporary seller's permit. There's no charge, though a security deposit is sometimes required [2]. |
| Texas | A Texas Sales and Use Tax Permit if you sell taxable items, take orders or promote sales at the event. There's no fee to apply. The exemption for selling only one or two taxable items in 12 months doesn't apply at flea markets or arts and crafts shows that charge booth fees [3]. |
| New York | A regular Certificate of Authority, even if you sell only now and then. Show and entertainment vendors can't use the temporary certificate. Register at least 20 days before you start selling [4]. |
For any other state, search its department of revenue site for "temporary vendor" or "special event" and "sales tax".
Why the organizer asks for your permit number
Organizers can be on the hook for vendors who aren't registered. In Texas, a promoter at a market without a central register must make sure each seller has an active permit, and has to collect and send the tax on sales by sellers who don't [3]. That's why many show applications ask for your permit number before they give you a booth.
States with no statewide sales tax
Delaware, Montana, New Hampshire and Oregon have no general sales tax, though Delaware has a gross receipts tax and some Montana resort towns levy a local tax. Alaska has no state sales tax, but many towns have their own [1].
Charging the tax at your booth
Once you're registered, you either add tax at the register or build it into round prices. If you build it in, check your state's rules on saying so at the booth. See how much of each price is tax, and what to charge to keep what you need, in the tax-included price calculator.
Booth fees themselves aren't taxed in Texas [3]. To see what the booth costs you in sales, use the booth fee break-even calculator.
Regulars who prepay
With Venda Wallet, a regular prepays your stall by Zelle® to your business bank, and you charge them with a scan at each market. Each charge is a sale like any other, so it goes in your sales tax records the same way.
